Returning-caller memory
The next call doesn’t have to start from scratch.
A returning customer shouldn’t have to explain everything again. Enable caller memory so your receptionist can use relevant context from previous conversations when they call back.
A more useful starting point for a repeat enquiry.
A visual walkthrough
A caller returns to discuss the service enquiry they raised earlier.

01
Choose when continuity is useful.
Caller memory is an agent setting. Turn it on when repeat conversations are part of your business, such as ongoing enquiries or returning customers. It supplements your business information; it does not replace the services, prices and policies you maintain.
02
Remember context, not assumptions.
A customer’s plans can change. Ask for confirmation before relying on an earlier preference or taking a consequential action. Treat previous context as a helpful starting point, not proof of identity or permission to disclose sensitive information.
03
Keep customer records distinct.
Memory from previous conversations and information looked up in a connected CRM are different sources. If the team needs a current job, booking or contact record, choose a supported connection and follow its access requirements. Do not expect memory alone to confirm a booking or account status.
MAKE IT YOURS
Set up the useful part.
Caller memory is not identity verification. Do not use remembered context alone to authorise sensitive disclosures or account changes.
Open the agent’s Knowledge settings.
Enable Caller Memory for the receptionist that needs it.
Try a repeat enquiry and review how previous context is used.
Good questions.
Do I have to enable caller memory?
No. It is a setting you can choose for your agent.
Does it replace my customer database?
No. Connected customer-record systems have separate lookup and update capabilities. Memory provides conversation context, not a replacement system of record.
Will old information override my business policies?
Keep current policies in your business information and instruct the receptionist to confirm changing customer details. Review important outcomes rather than treating remembered context as a guarantee.
